What Separates Good CAPA Software From the Rest -By Akshat Kumar

CAPA Software applications provide the most efficient solution for organizations to manage nonconformance. CAPA software is used to report and then implement corrective and preventive action to eliminate the causes of nonconformance.
What is the definition of CAPA Software?

It is an abbreviation of corrective action and preventative action software which can be considered an important tool designed for any business quality management system. In simple words these software systems have the ability to track the progress of correction required through workflows while maintaining records of all reported problems and action in a system database.
What are the basic concepts of CAPA Software?
Management system standards such as ISO 9001, 14001, AS 9100, ISO/TS and many more have very well-defined requirements. Software systems are designed to fulfill these requirements in the most efficient ways with easy to use tools and less resource requirements than manual systems.
• Corrective actions - Also known as counter measures when properly applied eliminate the cause or causes of non-conformance to prevent their recurrence.
• Preventative actions - Take those corrective actions that were effective and apply them to similar processes and products to prevent the causes of non-conformance where the NCR has not yet occurred.
Good software systems include tools to assist the user in identifying and recording potential causes as well as workflows to assign analysis of these potential causes to determine which are contributing or root causes and which are not related. More advanced CAPA systems will guide users to determine how/why non-conforming product was made? And then what in the quality system failed that allowed the non-conformance to escape or "Why shipped?"
What is the working task of CAPA Software?
The design intent of most CAPA software is automation combined with workflow which functionally makes the process easier to track, categorize particular cases and status them correctly. Below are some specific inbuilt features of the software.
• Index and advanced search tools allow the user to quickly located reported problems and then group them by one or more criteria. Exporting to Ms Excel and filtering on columns can also be used to quickly locate records.
• Configurable work-flows including approvals that assign problems to their rightful owners or functional responsibility
• Easy to complete problem report or discovery form that allow end users to report problems
• Work-flows that track status and issue overdue and late reminders when tasks are not completed on time
• Tools that schedule follow-up activities to confirm the effectiveness of each cause elimination activity or the corrective actions that were implemented
• No CAPA software would be complete without the ability to assign and track the costs of poor quality
CAPA Software systems than provide these features as a minimum will improve and organizations ability to manage non conformance.
